Folder is a directory containing related process or documents in the Emakin. The left side of the screen contains the navigation menu for folders. 

Starting a new process

After selecting a folder from the navigation menu, all accessible processes are listed on the page. Clicking the process name will start the process. Some processes may be hidden because you do not have the permission to access, or they have been disabled by the administrator.

Managing a Folder

The folder toolbar is used to manage the folder properties. This toolbar is only visible when you have a 'write access' for the respective folder.


New Folder
Creates a new folder in the current folder with the specified name.

Edit
Changes the folder name with the specified name.

Processes
Provides an access list of processes installed in the current folder. This menu is only visible if a write permission is available on the folder.

Permissions

Allows editing [[access control list|Security]] of the current folder. The access control list specifies who can access the folder and which permissions they have. Folder permissions can be specified as:

Security Profile
Security profile is used to give permission to a particular Identity for reaching the related folder. If a security group doesn't exist, system uses the default group. 

Identity
Identity specifies the responsible person, unit or a group.

Permissions
Permission specifies the authorization level of Identity. There are four authorization levels which are Read, Execute, Write and All.

  • Read allows user to see folders, contents inside and start tasks.
  • Execute grants the same permissions a process administrator has. Users with this permission can execute any action provided to process administrators such as configuring the settings page of a process.
  • Write allows user to access the process design screen and make changes on it.
  • All permission consists of all three permissions listed above.

Clicking the little downward arrow next to the Identity selection, a field opens up with a details panel that consists of the three subtitles. Those are "type", "begins at" and "expires at".


  • Type consists of the two options for managing identity's permission. Those are allow and deny.
  • Begins At (optional), start date of a permission period.
  • Expires At (optional), end date of a permission period.

Delete
Deletes the current folder and its child folders.

When a folder is deleted all of the related processes and tasks are automatically removed from the system. This action cannot be undone, therefore we recommend that instead of deleting a folder, better option is removing the user identities from the access control list in order to hide it from users.

Dashboard and Report

Dashboard and reports features can be designed, if process need it.  Dashboard and report are customized with processes and change accordingly to the process specific graphics or listings.

Dashboard

Dashboard is submitted as a graphical summary of important data, also it gives an overview of a running process. After selecting a folder from the navigation menu, dashboards of the related process are listed on the page.

Example dashboard:

Pie chart shows an active contract counts, with each piece of a contract separated from each other with different color. When you move mouse over the color, you will see a contract type name and count.

 

Active contract some of features are listed under the pie chart. Those are revision date, inception of treaty, duration, end date and responsible.

Report

Reports is used for giving details about process account or statement, and to export excel list from the system. 

You can decide criteria which you want for the report by using the criteria decisions. When you click on search button, the corresponding feature data are listed on the screen.
